How to Host a Training

Training Timeline for Hosting a WAIT Training Event

Use the following timeline as a checklist for facilitating your training.  Circumstances may differ, but choose the tasks that are appropriate and add others that you know you’ll need to complete.

Two or more months before the training:

___Discuss the training with WT staff, define the terms and date 
___Sign the contract and send to WAIT Training office

___Send the deposit amount to WAIT Training
___Identify a sponsor, it may be your organization
___Locate a site for the training (this may require a site visit)
___Contract the training site
___Determine if any scholarships will be offered
___Determine and define how you will market and publicize your training.
      ____Use the Community Contact Sheet provided to contact your community *Provided
      ____Send an e-postcard to all on your list, your health department and school district *Provided
      ____Decide on a mailing to your specific desired participant list *Letter provided
      ____Contact your Title 5 Coordinator to ask for their help in promoting
      ____Decide how to register the participants
      ____Review the logistical arrangements with WT office staff and identify the people responsible for making  the necessary arrangements.

Four to three weeks before the training:

___Discuss possible CEU credits and give that information to interested participants
___Determine the number of participant manuals to be ordered and order through WT office
___Arrange for equipment to be used during the training
     ___Flip chart with markers or Dry erase board with markers
     ___TV/VCR
     ___Laptop & LCD projector with remote and screen
     ___Cordless or lapel mic if training exceeds 30 participants
     ___Extension cord, power strip, table, portable cassette player
___Decide if serving continental breakfast
___Decide if serving lunch, if not do area map with restaurants
___E-mail or call the WAIT Training office with the following information
     ___Contact person’s emergency or cell phone number for trainer
     ___Recommend a nice hotel with phone number and address, give training site phone number and           address,  (will need for shipping materials) 
___Decide who will help set up the training and who will help set out the training materials and product      to be sold.  Decide who will be responsible for the products, money and sending unused training      materials and products back to WAIT Training

Two to one week before training:

___Confirm reservations for the training room
___Confirm the equipment
___Confirm participant manuals from the printer and training materials from WT have been sent
___Confirm CEU credits
___Contact the WAIT Training office and ask any questions or concerns for training
___Send a letter of welcome to all registered participants with directions and agenda
___Begin to gather materials and equipment needed

Days of training:

___Help trainer set up room
___Help with networking sheets and attendance
___Help sell products and give order forms, keep product inventory
___Evaluate trainer with trainer evaluation sheet
___Have fun and relax

After the training:

___Return all unused training materials to the WAIT Training office
___Return any unsold products and any money collected for products sold
___Give any recommendations to WAIT Training
___Pay the reminder of the contract balance (you will be invoiced) and send to:
